AI Pharmacy & Wellness Support Bot
An AI chatbot for an online pharmacy and wellness retailer that answers product questions, tracks orders, manages refill reminders, and hands off anything clinical to a licensed pharmacist.
An online pharmacy and wellness retailer selling OTC medication, supplements, and medical supplies, with a small customer support team and a licensed pharmacist available for clinical questions.
Support tickets were mostly "where's my order" — but not always
The support team's queue was dominated by order-status and refill questions that didn't need a person — but mixed in among them were questions that absolutely did: drug-interaction concerns, dosage questions, symptom-related messages. Treating every message the same way meant either slow responses on the easy questions or, worse, a risk of an automated system answering something clinical it had no business answering.
Refill timing was also easy to miss without a nudge, and product questions about OTC items and supplements needed accurate, current answers pulled from the actual catalog — not guessed.
- High-volume, low-complexity requests (order status, refill timing) crowded out faster handling of complex ones
- Any clinical or dosage-related question had to reach a licensed pharmacist, never be answered by the bot
- Product and inventory answers needed to reflect the live catalog, not stale training data
- Returns and refunds needed real integration with order-management, not just a canned policy reply
Fast on commerce questions, strict about clinical ones
TecXra built an AI support and sales bot that handles order tracking, refill reminders, product recommendations, and returns/refunds directly against the store's order-management and product APIs — with retrieval-augmented answers grounded in the live product catalog, not memorized facts.
The bot is deliberately conservative about its own authority: any message touching dosage, interactions, symptoms, or anything clinical is detected and handed off to a licensed pharmacist immediately, with the conversation history attached, rather than attempting an answer.
A look inside the workflow
Every customer message is classified before the bot decides whether to act on it itself or hand it to a person.
Customer
Message arrives via the store's web or app chat widget.
AI Bot
Manages the conversation and decides which capability to invoke.
Intent Detection
Classifies the request — and flags anything clinical for mandatory handoff.
Product / Order APIs
Looks up live order status, refill dates, and catalog/inventory data.
RAG
Grounds product and policy answers in current catalog and support documentation.
Response
Replies with the order update, recommendation, or resolution.
Human Handoff

Refill reminders
Proactively reminds customers before a recurring order is due.
Product recommendations
Suggests OTC and wellness products grounded in the live catalog via RAG.
Returns & refunds

Clinical handoff, always
Dosage, interaction, or symptom questions route to a licensed pharmacist — never answered by the bot.
Conversational, not a form
Customers describe what they need in their own words instead of filling out a support form.

How it was built
Support-flow audit
Classified support ticket history to separate safe-to-automate flows from clinical ones.
API integration
Connected the bot to order-management, product catalog, and inventory systems.
Clinical guardrails
Built and tested the detection logic that forces mandatory pharmacist handoff.
Launch & tuning
Rolled out on the store's chat widget and tuned intent accuracy against real conversations.
Support queue full of questions a bot could safely handle?
If your team is buried in order-status and refill questions, let's talk about automating the safe parts without touching the clinical ones.
